We are looking for a Secretary to the Green Squirrel Board to help us in our work supporting communities and individuals to build a greener, fairer future.
About Green Squirrel
Green Squirrel is a Community Interest Company (CIC), founded in 2012. We are Cardiff’s bridge between community wellbeing and climate and nature action, making space for everyone to shape and share a greener future.
We lead the Railway Gardens project, a community green space and resilience hub in Splott, Cardiff, as well as working with communities, businesses, and organisations across south Wales. We reach over 7,500 people each year through our events, training and projects as well as by providing support and free or subsidised use of our space for their own activities.

About the Green Squirrel Board
Following a period of growth and the establishment of new projects and services, Green Squirrel is entering an exciting new phase. The Board ensures that we stay true to our mission and values, and provides governance, guidance, and oversight for the organisation.
The Board currently includes two Executive Directors (responsible for day-to-day operations) and four Non-Executive Directors, including our Chair.
We are now seeking a voluntary Secretary to the Board to support the effective running of meetings and help maintain good communication and organisation.
About the Role
The Secretary to the Board plays a key administrative role, helping to ensure our meetings, actions, and records are well managed and that communication between Directors is smooth and effective.
This role offers a fantastic opportunity for someone interested in gaining experience of how a board operates and learning more about governance, compliance, and decision making within a community organisation, without assuming the legal responsibilities of a non-executive director.
Key responsibilities include:

Coordinating and scheduling quarterly Board meetings (e.g. via Doodle polls or similar tools)

Preparing and circulating meeting agendas and supporting papers in advance

Taking accurate minutes during meetings and sharing them promptly

Tracking and following up on agreed actions

Supporting the Chair and Executive Directors in maintaining good governance practices (e.g. ensuring records are up to date)

Keeping shared Board documents organised within Google Drive

Sending occasional reminders and prompts to Board members and the executive team
Time commitment:

Around 1.5 day per quarter for meeting preparation, attendance, and follow-up, worked flexibly around your other commitments

Occasional additional communication or admin between meetings
This is a voluntary role, though reasonable expenses such as travel will be covered.
About You
We’re looking for someone who is:

Organised, reliable, and good at managing their own time
- Confident with simple administrative tasks

Comfortable with email and online tools (such as Google Drive and Doodle polls)

Confident communicating with a range of people

Discreet and professional when handling sensitive or confidential information

Interested in supporting community-led action on climate and nature
-
Keen to learn more about how boards and community organisations work - this role is a great introduction to governance.
Experience in governance, or coordination would be an advantage, but is not essential – we can provide support and training.
