Volunteer Title: Volunteer Coordinator

Reports To: Preschool and Child Minding Supervisor

Note: This role has an age requirement of 18+ years.

Summary

The Volunteer Coordinator is a key member of the department they support. Volunteer Coordinators support in all areas of the volunteer life cycle, including full-cycle recruitment, onboarding, training, support, evaluation, and recognition initiatives. This role increases capacity of the Association by making connections and building relationships with volunteers in the department they support.

 

Time Commitment

This position requires a 6-month commitment. Volunteer Coordinators should expect to commit 10-15 hours per week, but the time commitment varies week to week depending on department needs.

Duties and Responsibilities

Health and Safety

  1. Maintain a safe environment by following YMCA Calgary policies and procedures
  2. Build relationships with members, participants, and YMCA staff and volunteers
  3. Communicate with YMCA Staff regarding any situations during your volunteer shift

Department Support

  1. Ensure safety, communication, and a sense of belonging are high priorities
  2. Manage risks associated with participation in programs
  3. Communicate regularly with their Staff Supervisor and Volunteer Experience Supervisor as required
  4. Support with aspects of the volunteer life cycle, such as screening, interviewing, and onboarding
  5. Respond to volunteers by email and/or by phone call within a timely manner of receiving their applications
  6. Share and schedule upcoming training dates to new volunteers, as applicable to department
  7. Provide on site facility tours
  8. Provide continuous support to the Department through schedule management and engaging with volunteers to promote a high fill rate
  9. Assist with keeping volunteers in their department informed of department and branch level changes as shared by Staff
  10. Ad hoc duties as assigned by Supervisor

Skills

  1. Ability to take initiative and be self-directed
  2. Excellent communication and interpersonal skills; fluency in English
  3. Engaging, outgoing personality to support working with a diverse group of volunteers
  4. Ability to uphold and protect confidential information
  5. Represent the Association in a professional manner
  6. A positive, caring, and non-judgmental approach with others
  7. Proficiency in MS Office, word, and online resources
  8. Ability to build relationships with the participants, their families, and YMCA staff and volunteers
  9. Ability to work collaboratively with other staff and volunteers

Qualifications

  1. Clear Police Information Check with a Vulnerable Sector Search (volunteer letter will be provided after interview)
  2. Three references (two professional)
  3. Able to attend and complete required trainings
