Purpose of Position
|
|
The purpose of the position is to assist with administrative duties of STAR Community Services including communications with external stakeholders in a manner that is reflective of STAR Community Services’ values of respect, dignity and empowerment.
|
|
Key Responsibilities (To be tailored to your work)
|
- Working as part of a team across all Star Teams.
|
- Manage all reception duties between 8.30am to 4.30pm including (but not limited to).
|
- Meeting and greeting clients and visitors.
|
- Monitor emails and correspondence, answering incoming calls, take messages and direct enquires.
|
- Training room preparations for groups, including organisational catering requirements.
|
- Keeping reception, training rooms, kitchen and public areas clean, neat and tidy.
|
- Monitoring and maintaining office supplies stock and kitchen stock (i.e. milk, sugar, tea, coffee etc).
|
- Take and return phone calls on behalf of the relevant team as required.
|
- General office duties including faxing, photocopying and scanning.
|
- Assisting with client activities by:
- Setting up and packing down rooms used for clients’ events.
- Greeting clients and assisting them with tea/coffee.
- Taking client’s bookings as required.
|
- Assist with intake process update client files.
|
- Compiling new client packs for intake of home maintenance, gardening & home modifications.
|
- Assisting with Easy Shopper.
|
- Assisting with email of manifests to Toowoomba and Ipswich Drivers; hospital runs.
|
- Archive register and destruction of documents.
|
- Project support ie Archiving and Records Management Project.
|
|
Client Management Systems
|
- Assisting with verification process in RouteMatch (RM).
|
- Scan and upload client information of workorders/service agreements/charters/intake documents in relevant client management systems/TRACCS as directed.
|
- Assist CCC to correct client records in TRACCS.
|
- Data entry of annual client survey.
|
|
|
- Data cleansing and other projects as they occur.
|
|
Ease workload of others.
|
|
Optional additional tasks (related to the Care Team):
- Assist Coordinators / COO to develop/review existing and new programs.
- Act as Companion escort on client programs as agreed with Coordinators / COO.
- Book venues for client activities and undertake Environmental assessment of venue as agreed with Coordinators/COO.

Other duties as agreed by both parties.
