Virtual Event Coordinator (Membership)
Summary: The Virtual Event Coordinator (Membership) plays a key role in supporting PMI-LA virtual Membership events by ensuring accurate attendance tracking and effective monitoring of participant engagement. This volunteer collaborates with the VP of Membership and Membership event leaders to support smooth and organized virtual events.
This role supports PMI-LA members by managing attendance records and monitoring chat, reactions, and questions during virtual events. Effective virtual event support helps ensure members receive PDUs when applicable and that participant questions and feedback are addressed promptly.
This role is especially important for maintaining a professional and engaging experience during virtual Membership events.
Duties:
- Attendance Tracking

- Record attendance for virtual Membership events using the designated attendance tracking method.

- Monitor participant join and leave times when required for PDU reporting.
- Ensure accurate documentation of attendee names and PMI membership status when applicable.
- Provide attendance records to the VP of Membership or designated event leader after each event.
- Support accurate reporting for PMI-LA Membership metrics and event participation.
- Chat and Engagement Monitoring

- Monitor the chat during virtual Membership events.
- Track participant questions and comments.
- Bring questions to the attention of the event host or presenter when appropriate.
- Monitor participant reactions (such as raised hands or reaction icons) indicating questions or requests.
- Help ensure that member questions are acknowledged and addressed.
- Virtual Event Support

- Join virtual Membership events early to confirm readiness.
- Coordinate with the event host prior to the event to confirm responsibilities.
- Provide basic technical guidance to attendees when needed (e.g., chat location, raising hands, reactions).
- Help maintain an organized and professional virtual environment.
- Documentation and Continuous Improvement

- Maintain attendance templates or tracking documents when needed.
- Provide feedback after events to improve virtual Membership event processes.
- Identify opportunities to improve attendance tracking and participant engagement.
Skills:
Required Skills
- Comfortable using virtual meeting platforms (Zoom, Teams, or similar)
- Strong attention to detail
- Organized and reliable
- Strong written communication skills
- Comfortable multitasking during live events
Preferred Skills
- Experience supporting virtual events or webinars
- Familiarity with PMI-LA Membership events
- Experience tracking attendance or maintaining records
- Interest in Membership engagement and volunteer support
Estimated Time Commitment: 1–2 hours per event including preparation and attendance tracking. Typically supports 6–10 virtual Membership events per year. Optional 30-minute coordination check-ins as needed.
