VOLUNTEER OPENINGS - PROG: Coordinator of Morning Programs

Position: Coordinator of Morning Programs

 

Role Description:

Are you a morning person?  Do you want to engage with other morning project managers about hot topics that affect project management professionals today?

If you have a couple hours a week, you can assist the Director that runs the Monthly Morning Program for the chapter while selecting topics that are appealing to yourself and other project managers.

Responsibilities include, but are not limited to the following:

Weekly (prep-work):

  • 1-2 hours per week – work with Director of Speakers Engagement to secure speakers and get necessary event information (topic summary, learning objectives, speaker bio) for future events
  • Set up event in chapter ZOOM and get attendee information for website posting
  • Post event into pre-created template for the date speaker elects to speak
  • Submit PDU approval request to PMI
  • Request Marketing team to begin marketing event, include event URL
  • Repost Marketing posts on your network and out to past attendees

 

Monthly (7:30 AM - 9:00 AM PT):

  • Recommended 3rd week of the month
  • Schedule a pre-zoom call with speaker to coordinate what will happen during the call
  • Download the latest Scrolling Presentation from O365 Teams All Volunteers à Scrolling Presentations; modify first page with Morning Programs information
  • Remind attendees 24 hours prior to event of login information
  • During the Meeting
    • Manage event tool (Zoom)  to admit attendees and track attendance (getting PMI numbers of those we do not have numbers for)
    • Display the scrolling presentation and mention highlights of upcoming events
    • Introduce speaker
    • Start recording (if speaker is amenable)
  • After the Meeting
    • Check off attendance on website, download CSV file, add in any missing PMI numbers
    • Submit to PDUs@pmi-la.org to post PDUs for your event
    • Send any follow up surveys as required

 

General:

  • Participate in monthly Programs meetings
  • Build a team to help with backend technology (Zoom) and events management as necessary

 

 

Skills required:

  • Skilled in Event management (or willing to learn)
  • Able to thrive in a fast-paced, self-starter environment.
  • O365 Teams knowledge is helpful

 

Expected Level Of Effort:

  • Minimum 1 hours per week – with additional time as needed.  Development of Morning Program will require additional startup time.

Notes:  Amount of work may be less depending on the availability of co-directors or back-end support volunteers for each event.
