VOLUNTEER OPENINGS - FIN: Bookkeeper / AP/AR Specialist

Purpose

The Bookkeeper / AP/AR Specialist is responsible for the day-to-day financial transaction processing within PMI-LA, ensuring accuracy in accounts payable (AP) and accounts receivable (AR), maintaining financial records, and supporting reconciliations and reporting. This role works under the Controller to ensure timely and efficient financial operations.

 

Responsibilities/Accountabilities

Financial Transaction Processing & Reconciliation:

  • Record all incoming and outgoing financial transactions in accordance with PMI-LA policies.
  • Manage accounts payable (AP) by processing vendor invoices and ensuring timely payments.
  • Track and manage accounts receivable (AR), including sponsorship payments and outstanding invoices.
  • Process reimbursements for chapter activities and track expense reports.
  • Conduct monthly reconciliations of financial accounts (bank, PayPal, and credit card transactions).

 

Financial Documentation & Compliance:

  • Maintain accurate financial records and documentation for audits and reporting.
  • Ensure all transactions follow established financial policies and internal controls.
  • Assist in preparing financial reports and statements for the Controller and Finance Director.
  • Support the tax preparation process by ensuring proper recordkeeping.

 

Reporting & Collaboration:

  • Provide AP/AR reports and updates to the Controller and Finance Director.
  • Collaborate with the Financial Reporting Manager to ensure accurate data for financial reports.
  • Work with the Procurement & Vendor Manager to track vendor payments and contracts.

 

Time Commitment

  • 6-8 hours per month

 

Battle Rhythm (Recurring Activities & Deadlines)

Weekly:

  • Process invoices, payments, and reimbursements.
  • Track outstanding invoices and follow up on overdue payments.

Monthly:

  • Perform bank and credit card reconciliations.
  • Prepare AP/AR financial reports for the Finance Team.

Quarterly:

  • Review financial policies related to transaction processing to ensure compliance.
  • Assist the Controller in preparing financial summaries for Board review.

Annually:

  • Support the tax preparation process by maintaining accurate financial documentation.
  • Assist in the annual financial audit by preparing transaction records and supporting documentation.

 

Preferred Skills & Qualifications

  • Experience in bookkeeping, accounts payable, or accounts receivable.
  • Familiarity with QuickBooks, Zoho, or similar financial management software.
  • Strong attention to detail and accuracy in financial recordkeeping.
  • Ability to follow financial policies and maintain financial integrity.
  • Basic understanding of GAAP and nonprofit financial processes.

 

Role-Specific Security Access

  • Read & Edit Access: Financial transaction records, accounts payable, and accounts receivable.
  • Financial Systems Access: QuickBooks, Zoho, bank transactions (view-only).
