Special Events Program Manager

Summary: The Special Events Program Manager plays a key role in planning, coordinating, and executing PMI-LA’s Special PDU Events in collaboration with the VP of Programs and VP of Membership. These events combine engaging member outings (e.g., stadium tours, live shows) with project management learning to offer members both entertainment and Professional Development Units (PDUs).

Duties:

1. Collaborate with the VP of Programs to identify and schedule engaging Special PDU Events, including venue-based outings and project management presentations.
2. Prevent scheduling conflicts by confirming alignment with the full chapter calendar (e.g., Board Meetings, NMOs, Networking Events).
3. Coordinate marketing efforts by creating promotion requests for email, social media, and website listings in partnership with the Marketing and Programs teams.
4. Support PDU tracking by ensuring event and presentation content aligns with PMI Talent Triangle categories and confirming pre-approval of PDUs.
5. Create and manage a simple budget in collaboration with the VP of Programs; coordinate with the VP of PMO-Admin on MOUs or agreements when needed.
6. Maintain documentation including event checklist, PDU reporting template, budget tracking, and lessons learned summary.

Skills:

• Detail-oriented and organized, with experience in planning or managing events.
• Comfortable collaborating across multiple chapter departments (Programs, Marketing, Membership, PMO).
• Interest in enhancing member experience through creative, fun, and educational events.

Estimated Time Commitment: 2 to 4 hours per week during the 6 to 8 weeks prior to a scheduled event. 3 to 5 hours on the day of the event. 1 hour per month for coordination touchpoints and post-event review. Typically supports 1–2 events per year.
