Purpose

The Finance Operations Manager is responsible for overseeing the day-to-day financial operations of PMI-LA, ensuring smooth execution of financial processes, accurate recordkeeping, and adherence to financial policies. This role supports the Director of Finance & Compliance and works closely with the finance team to maintain financial stability, optimize operational efficiency, and ensure compliance with financial guidelines.

 

Responsibilities/Accountabilities

Financial Operations & Transaction Management:

  • Oversee daily financial transactions, including accounts payable, receivables, reimbursements, and general ledger entries.
  • Ensure timely and accurate reconciliation of financial accounts.
  • Assist in the budgeting process by tracking expenses and providing financial insights.
  • Manage vendor payments, invoices, and contracts to ensure financial obligations are met.
  • Ensure compliance with PMI-LA’s financial policies and maintain accurate financial records.
  • Support tax filings, financial audits, and other reporting requirements.

 

Process Optimization & Compliance:

  • Identify and implement process improvements to enhance financial efficiency.
  • Maintain internal controls to ensure financial security and prevent fraud risks.
  • Support compliance with nonprofit financial management best practices.
  • Assist in grant and sponsorship fund tracking to ensure proper allocation.

 

Collaboration & Reporting:

  • Prepare and submit monthly financial reports to the Director of Finance & Compliance.
  • Work closely with finance volunteers, ensuring smooth execution of financial operations.
  • Act as a liaison between finance and other PMI-LA teams for budget management and financial reporting.
  • Provide training to new finance volunteers on financial systems and compliance guidelines.

 

Time Commitment

  • 6-10 hours per month

 

Battle Rhythm (Recurring Activities & Deadlines)

Monthly:

  • Process payments, reimbursements, and financial transactions.
  • Reconcile financial records and update financial tracking systems.
  • Support finance team meetings and provide operational updates.

Quarterly:

  • Assist with financial risk assessments and compliance reviews.
  • Work with the finance team to review operational procedures and improve efficiency.

Annually:

  • Support the development of the annual budget.
  • Assist with external audits, tax filings, and regulatory reporting.
  • Contribute to finance team succession planning and role development.

 

Preferred Skills & Qualifications

  • Experience in financial operations within nonprofit or professional organizations.
  • Proficiency in financial software such as QuickBooks, Zoho, or similar tools.
  • Strong attention to detail and ability to manage multiple financial processes.
  • Knowledge of budgeting, reconciliation, and internal controls.
  • Ability to collaborate with finance teams and communicate financial insights effectively.

 

Role-Specific Security Access

  • Read & Edit Access: Financial transactions, budgets, and reporting tools.
  • Approval Authority: Routine financial transactions and budget compliance checks.

Financial Systems Access: QuickBooks, Zoho, PayPal (for reconciliations).
