Corps Programming - Special Events Assistant

VOLUNTEER POSITION DESCRIPTION

 POSITION TITLE:          Volunteer Special Events Assistant

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

  1. Assist with the planning and coordination of events and meetings.
  2. Assist with the on-site event management to include set up, break down, and AV support.
  3. Assist with communications around event management including BEOs, timelines, calendars, reports, and diagrams.
  4. Assist with the development and maintenance of mailings and guest lists.
  5. Assist with answering phones and follow-up.
  6. Assist with the creation of hard and soft copy files.

 RELATIONSHIPS

This individual relates to, and interacts with a wide range of contacts both within and outside the Salvation Army. In these contacts they act as a representative of the Army and its mission.

 SUPERVISION RECEIVED

Under supervision of the Corps Officer to complete tasks to plan, schedule, and carry out responsibilities within established policies and guidelines.

 PERFORMANCE MEASURES

This individual will be evaluated on how effectively the outcomes of this position are achieved, as well as the timeliness, accuracy and completeness of accomplishing assigned goals.

 COMPETENCIES

  • Strong interpersonal, verbal (including phone work) and written communication skills
  • Good computer processing skills including Microsoft Office and the internet
  • Interest in the Non Profit Sector, Special Events, and/or Hospitality industry
  • College coursework or comparable work experience preferred
  • Strong leadership and organizational skills.
  • Must be a team player, self-starter, and follow through with assignments until completion
  • A positive attitude and the ability to be flexible in light of changing job situations/priorities

 POSITION LIMITATIONS

  • This individual will only commit Army resources that have been allocated or approved.
  • This individual will keep the Corps Officer informed on all critical issues relating to their area of responsibility.
  • This individual will adhere to all policies and procedures in carrying out the responsibilities of this position.
  • This is an unpaid volunteer position.

 PHYSICAL DEMANDS/WORK ENVIRONMENT

This position is required to do light physical work.  Frequent use of standard office equipment and a PC also required. The work environment for this position includes a program environment with a moderate to high noise level.

  • 18 years or older

  • Must pass initial screening processes including a background check.

 POLICIES

  • Volunteers need to be willing to undergo a background check and initial screening process. Once they have passed, they will need to complete our Safe from Harm online training within 90 days of starting.
  • Alcohol, drugs, smoking and weapons are not permitted at any Salvation Army Facilities or volunteer site.

Clothing must be respectful as you will be representing The Salvation Army
