Volunteer Program Assistant

 

Position: Volunteer Program Assistant, Volunteer Services

Reports to: Volunteer Coordinator/Senior Manager Human Resources & Volunteers

Location: KW Centre 250 Riverbend Dr and Stratford Centre 125 Griffith Rd.

 

Position Summary: The Volunteer Program Assistant will be responsible for assisting in the recruitment, screening and training of volunteers and foster volunteers. Other responsibilities will include administrative support and scheduling support as well as the development of volunteer program committees.  

 

Accountabilities:

  • Participate in the recruitment and screening of volunteers
  • Assist with volunteer orientations at both KW and Stratford locations
  • Lead volunteer committee meetings
  • Assist in the development of volunteer education/training opportunities.
  • Participate in training and scheduling of volunteers
  • Provide administrative support to the Volunteer Department including responding to volunteer inquiries, via phone and email, from the community, inputting data into the volunteer database
  • Participate in the planning of volunteer engagement and recognition events
  • Provide department support when Volunteer Coordinator is not on site.

 

Qualifications:

  • Experience with conducting training to adults as well as youth
  • 1-year experience working in volunteer relations and/or one-year experience as a volunteer
  • High School Diploma or Equivalent
  • Strong written and verbal skills with the ability to communicate effectively and efficiently
  • Organize, prioritize and manage multiple tasks with little supervision
  • Strong interpersonal skills and have ability to work independently and/or as part of a team
  • Excellent teamwork and team building skills
  • Excellent verbal, written and presentation skills
  • Must have intermediate experience in MS office programs
  • Ability to communicate in a friendly and informative manner with people from a wide variety of cultural and ethnic backgrounds and lifestyles
  • Excellent teamwork and team building skills
  • Ability to work in a fast-paced environment
  • Comfort working with dogs, cats, small animals, birds and reptiles

 

 

 

Other Requirements:

  • Must provide a clear police records and vulnerable sectors check
  • Ability to work occasional evenings and weekends as needed

 

In addition to the duties listed above, the Centre expects the following of each volunteer:

  • Adhere to HSKWSP volunteer policies and procedures: works in safe manner; acts as a role model within and outside the Centre
  • Performs duties as needed and maintains a positive and respectful attitude
  • Communicate regularly with supervisor about concerns
  • Consistently reports for the volunteer role and prepared to perform duties of the position

 

Working Conditions:

  • All Volunteers, Staff and community members will follow safe social distancing (6ft or 2m) as recommended by Public Health
  • Personal Protective Equipment will be worn, including facemasks, while inside the Centre.
  • Location is not near a bus route
  • Work is completed on site in our Centre/office. Work may occasionally occur outdoors (i.e special events, canine companion) and therefore will be impacted by weather.

 

Time Commitment:

  • At least three, 4 hour, shifts per week
  • Flexible schedule including some evenings and weekends

 

Training:

  • Onsite training completed by Volunteer Coordinator and/or appropriate department staff
  • Completion of AODA and WHMIS training, completed online
  • Feedback and team meetings completed on a biweekly or as needed schedule with the Volunteer Coordinator
