Campus Fundraising Events

Goal of the Position

To support Foundation fundraising events which are important fundraising and community engagement opportunities for our Campus of Care. As a Special Events Volunteer, you will play a key role in ensuring that our events run smoothly and successfully while representing the Foundation within the community. You will be working alongside our Foundation staff and other enthusiastic volunteers to provide support before, during, and after events. Whether it's assisting with setup, helping guests, or managing event activities, your involvement will be essential to creating a positive experience for all attendees.

Time Commitment

Four major fundraising events per year. Other events as needed (craft fairs, activation booths at local events, Catch the Ace)

The four events are usually:

- end of May (Hike the Valley)

- end of June/early July (House of Providence Picnic_

- early October (Anne & Neil McArthur Memorial Golf Tournament)

- late November (Holiday Handbags)

Key Responsibilities & Suggested Activities

Main Responsibilities:

  • Assist in the setup and breakdown of event venues, including decorations, seating arrangements, and equipment
  • Provide support during the event, helping with guest registration, answering questions, and ensuring a welcoming environment
  • Coordinate event activities, including guiding attendees to various locations, managing event flow, and ensuring smooth transitions
  • Assist with crowd control, ensuring safety and comfort for guests throughout the event – wayfinding is key!
  • Help with distributing materials, event swag, or promotional items as needed
  • Support event staff with administrative tasks such as data collection, surveys, and providing feedback
  • Be proactive in offering assistance and addressing any challenges that arise during the event

Qualifications

  • Strong team worker, professional, empathetic, non-judgmental, culturally sensitive, trustworthy, calm, and adaptable in dynamic settings.
  • Knowledge of the St. Joseph’s Villa Foundation and the work that we do on Campus
  • Comfortable with fundraising and soliciting donations
  • Strong communication and interpersonal skills
  • Friendly, approachable, and customer service-oriented attitude
  • Ability to work well in a team environment and follow directions
  • Flexible and adaptable to last-minute changes or requests – things move quickly before and during an event!
  • Enthusiasm for creating memorable experiences and sharing the mission, vision, and values of our Campus of Care
  • Previous event or volunteer experience is a plus but not required

Risk Assessment

 Overall Medium risk.

  • Supervision on site during most all shifts however supervisor may be moving around venue; available for contact by phone at all times
  • Requires standing and lifting
  • All volunteers can indicate ahead of time if they have any restrictions on mobility or health concerns and we will try to accommodate their needs

Training

  • Completion of Margaret’s Place Volunteer Handbook
  • In-person orientation shift(s) with experienced volunteer in desired role
  • Regular opportunities for education sessions, education resources, workshops, or refresher courses.
  • Access to staff and other volunteers for guidance and debriefing.
