Grants Management Intern

JOB SUMMARY:
Under general supervision, the Grants Management Intern provides administrative and program support to the Grants Management Division. This position assists staff with document preparation, data entry, file organization, and basic reporting tasks related to federally funded programs, including CDBG, HOME, and ESG. The intern will gain exposure to grant planning, compliance, and program administration while supporting daily operations of the division.
 
ESSENTIAL JOB FUNCTIONS:
• Assists with preparation and formatting of grant-related documents (Consolidated Plan, Action Plan, CAPER, reports, presentations).
• Provides administrative support including filing, scanning, and organizing records in accordance with HUD and City requirements.
• Performs data entry and updates in grant tracking systems (IDIS, Neighborly, or similar).
• Assists with compiling data for reports, spreadsheets, and presentations.
• Supports meeting coordination, scheduling, and preparation of materials.
• Assists with website updates and public-facing materials.
• Responds to routine inquiries and directs questions appropriately.
 
OTHER JOB FUNCTIONS:
• Assists with special projects and research assignments.
• Supports outreach events or public meetings.
• Performs other duties as assigned.
 
MINIMUM QUALIFICATIONS:
Knowledge, Skills and Abilities Required:
• Basic knowledge of office practices and procedures.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Strong organizational skills and attention to detail.
• Ability to communicate clearly and professionally.
• Ability to manage multiple tasks and meet deadlines.
• Ability to learn new systems quickly.
Education and Experience:
Current enrollment in or recent graduation from an accredited college or university (Public Administration, Business, Finance, Planning, or related preferred).
Prior administrative or office experience preferred but not required.
 
PREFERRED QUALIFICATIONS:
• Experience with Microsoft Excel (basic formulas, data organization).
• Familiarity with research or data collection.
• Interest in public service or grants management.
• Basic knowledge of WCAG 2.1 accessibility standards and/or experience formatting documents (Word, PDF, or PowerPoint) for accessibility compliance
