Alzheimer's Society Administration Support - New Haw

Role overview

 

Where, when and how often?

This role is flexible (Monday - Friday 9am until 5pm). We do hope you will be able to offer a few hours each week and provide some continuity over a number of months supporting our Triage team at our New Haw office.

 

The impact you'll make..

Administration support volunteers help to provide an efficient administration function, providing important support to colleagues involved with the delivery of services and other essential activities. The role does not expect you to manage the whole administration service but to provide help and assistance to colleagues, so that local administration is as effective as possible. 

What's involved?

• Providing support with general office duties which may include filing, photocopying, receiving visitors and answering telephone calls 

• Assisting with the planning and organisation of meetings and, where appropriate, to attend meetings and produce minutes/notes 

• Assisting with stationery and other purchase orders • Helping with mailings and the distribution of publications 

• Helping to maintain stocks of items such as leaflets, booklets and posters 

• Handling post and similar correspondence according to local procedures 

• Processing data, creating and/or updating spreadsheets, sending out emails/letters and similar tasks in an accurate and timely way 

• Liaising with local administration staff and other colleagues regarding day-to-day administration tasks 

• Recognising the range of policies and procedures that impact on administration. 

• Assist with sourcing local services suitable for people with dementia and their carers.

 

This role will suit you if you...

• Have some experience of providing administration support in an office environment 

• Have good verbal communication skills, by telephone and face to face 

• Have good IT skills, especially Microsoft® Office applications 

• Have good literacy and numeracy skills Have an ability to volunteer within appropriate boundaries 

• Are keen to provide a high standard of service and can prioritise tasks  

• Are able to carry out tasks efficiently, with close attention to detail 

• Have an understanding of, and a commitment to, confidentiality and data protection 

• Are comfortable following policies, procedures and guidance 

• Have a basic knowledge of, or willing to learn about, dementia and its impact on people 

• Are prepared to undergo an induction into the role and attend necessary training and similar learning activities to help you in your role

• Are committed to inclusion, treating people from all backgrounds with dignity.

 

How will I be supported during my volunteering?

Volunteers are invaluable to our services and at the Alzheimer's Society we are committed to supporting volunteers in their role(s). You will be invited to an induction day either at our New Haw or Horsham offices. Some of the topics covered on the day include safeguarding, professional boundaries and confidentiality. Volunteers also have full access to AtlasCloud, our on line learning system as well as in-house training opportunities as appropriate.

Expenses will be reimbursed in accordance with our expenses policy.
