Finance Volunteer

VOLUNTEER ROLE:

Finance Support

 

REPORTS TO:

Finance Assistant

 

LOCATION:

Demelza House, Sittingbourne

 

PURPOSE OF ROLE:

 

This is an exciting opportunity to be part of a Finance Team where your contribution will make a real difference every day. Whether you enjoy hands on tasks such as opening post and banking or prefer performing reconciliations, processing invoices (sales/purchase), administrative skill or having transferable skills, your involvement will help us meet Finance deadlines and help with the day-to-day smooth running of the department.

 

We welcome volunteers from all backgrounds and experiences who want to help our Finance Team, being able to offer your time flexibly—whether that’s a regular day each week, different days depending on your schedule, or just a few hours at a time to assist in producing a quality service.

 

ROLE/DUTIES/RESPONSIBILITIES:

 

Administrative and Support Tasks

  • Support the Finance Team with record keeping and scanning helping to be a sustainable paper light department
  • Assist with opening post, coin counting, banking and recording monies
  • Support with recording various financial data such as day books
  • Helping with “how to guides” and writing up manuals
  • Preparing supported documents

Finance-Specific Tasks

  • Assisting with Sales ledger such as raising invoices
  • Assisting with Purchase Ledger such as processing purchase invoices into Business Central
  • Assist with checking online expenses claims for relevant VAT receipts
  • Checking supplier statements, chasing missing invoices,
  • Assist with reconciliations such as bank, ledger and balance sheets
  • Assist with Gift Aid checking ensuring eligible Gift Aid declaration available
  • Support with various journals
  • Purchase order checking
  • Review and support Aged Creditors
  • Assist with credit cards such as revieing journals, preparing reminder chasing emails
  • Month end support such as preparing simple analytical comparisons, listing outstanding items that require investigation and updating trackers such as invoices received but not yet approved

 

Note: volunteers will not handle restricted data beyond what is required for the role and data will always be checked to ensure responsibility and controls stay with staff member   

 

SKILLS & QUALITIES:

  • Trustworthy when handling cash-related tasks
  • Comfortable handling numerical information
    • Reliable and able to work independently or alongside others
    • Organised, with good attention to detail
    • Good communication skills
  • Able to follow written or verbal instructions
  • Operate as part of a team
    • Able to maintain confidentiality
  • Willing to learn finance systems (e.g., Business Central)
  • Able to use Microsoft packages (but training will be provided for relevant tasks)
    • Friendly and polite when interacting with children, families, visitors and staff
    • Willing to follow all Health & Safety guidance

 

 

 

TIME COMMITMENT:

Volunteers should be prepared to make a regular commitment to suit personal availability which also helps to be able to plan workload to meet deadlines

 

 

TRAINING AND SUPPORT:

You will be given a Volunteer Handbook, which covers mandatory training such as Moving & Handling, Fire Training, Data Protection and Safeguarding.  In addition, you will complete an induction with your line manager.  Specific, specialist training will be provided where appropriate/relevant to the area you will be assigned to.  Ongoing support is available to volunteers through their line manager and voluntary services.

 

All volunteers must maintain their mandatory training to continue in their role.
