PURPOSE OF ROLE:
This is an exciting opportunity to be part of a developing and supportive Facilities Team where your contribution will make a real difference every day. Whether you enjoy practical, hands‑on tasks or prefer more administrative, coordination-based work or you have transferable skills, your skills will help us keep our sites and vehicles running smoothly.
Demelza is located over three sites, Sittingbourne, South East London and East Sussex. We invite volunteers who are either local to one of our sites or able to travel to the locations regularly so they can support the team effectively.
We welcome volunteers from all backgrounds and experiences who want to help our Facilities Team, being able to offer your time flexibly—whether that’s a regular day each week, different days depending on your schedule, or just a few hours at a time to assist in producing a quality service.
Demelza is committed to environmental sustainability and Compliance submitting annual reporting for Net Carbon Zero, ESOS (Energy Savings Opportunity Scheme) and SECR (Streamlined Energy & Carbon Reporting) and would welcome these specialist skills to work alongside us to assist us.
ROLE/DUTIES/RESPONSIBILITIES:
We are looking for a number of volunteers for the volunteering roles(s):
Administrative & Coordination Support
- Support the Facilities Team with record keeping scheduling and basic admin
- Assist with general administrative tasks
- Support the Facilities Team in maintaining accurate logs, schedules and follow-up actions for contractor activities
- Welcome and accompany external contractors during routine site visits (e.g., pest control)
Facilities & Vehicle Administration
- Support with arranging vehicle repairs, servicing, MOTs and related appointments
- Carry out simple monthly checks on pool and care vehicles (screen wash, oil, tyre pressure, mileage, etc.)
- Ensure vehicles have required items (de‑icer, scrapers, hi‑vis, driver guides)
- Clean vehicles on site or take them to a car wash
- Transport vehicles for MOTs, servicing or repairs
Environmental & Compliance Support
- Assist with preliminary research and basic administrative tasks relating to Net Carbon, ESOS (Energy Savings Opportunity Scheme) and SECR (Streamlined Energy & Carbon Reporting)
- Provide general support for Utilities administration, which may include maintaining meter-reading records, assisting with utilities data captured across sites and supporting future broker reviews when required
SKILLS & QUALITIES:
Administrative & Coordination Skills
- Able to work independently
- Organised, with good attention to detail
- Comfortable using email, calendars, and simple forms
- Good communication skills
- Able to use Microsoft packages
Facilities & Vehicle Administration Skills
- Comfortable carrying out simple vehicle checks
- Able to follow written or verbal instructions
- Confident using basic tools or equipment (training provided)
Personal Qualities (All Volunteers)
- Reliable and able to work independently or alongside others
- Friendly and polite when interacting with children, families, visitors and staff
- Operate as part of a team
- Able to maintain confidentiality
- Willing to follow all Health & Safety guidance
TIME COMMITMENT:
Volunteers should be prepared to make a regular commitment to suit personal availability which also helps to be able to plan workload to meet deadlines
TRAINING AND SUPPORT:
You will be given a Volunteer Handbook, which covers mandatory training such as Moving & Handling, Fire Training, Data Protection and Safeguarding. In addition, you will complete an induction with your line manager. Specific, specialist training will be provided where appropriate/relevant to the area you will be assigned to. Ongoing support is available to volunteers through their line manager and voluntary services.
All volunteers must maintain their mandatory training to continue in their role.
