Volunteer Lethbridge Terms & Privacy Management Statement

Section A:  General Understanding: 

1.  As a volunteer you will:

  • be expected to fulfil your volunteer placement commitment and the tasks associated to the best of your ability.
  • adhere to the values and policies of the location of the volunteer placement. 

2.  Volunteer Lethbridge Anti-Discrimination and Anti-Harassment Policy:

Volunteer Lethbridge is committed to providing an environment free of discrimination and harassment.  Harassment and discrimination will not be tolerated, condoned or ignored.  If a claim of harassment or discrimination is proven, disciplinary measures will be taken against the offending person, up to and including dismissal.

3.  Police Screening: 

  • Having an offense on your Police Information Check does not automatically disqualify you from volunteering, but it may impact the type of role you may perform.
  • If a criminal offense is shown on your Police Information Check, Volunteer Lethbridge is obligated to disclose this information by sharing the document with the member agency you will be referred to / placed at.
  • You have an obligation to report any new or pending criminal offenses to Volunteer Lethbridge.
  • Volunteer Lethbridge will not onboard applicants who have the following criminal offenses: 
    • Homicide
    • Aggravated assault
    • Theft
    • Firearms offenses
    • Sexual assault
    • Possession of drugs for distribution
    • Hate crimes
    • Crimes involving vulnerable persons

4.  References:

  • If any questionable feedback is shown on the Reference Check, Volunteer Lethbridge reserves the right to assess the applicant’s suitability to volunteer.  This may include:
    • Contacting the referee by phone to discuss the reference check in greater depth and reassessing suitability.
    • Declining the application.

 

Section B:  Personal Information Collection

1.  Why your information is collected:

Volunteer Lethbridge is committed to ensuring it collects, uses, discloses and safeguards personal information in a manner that respects the privacy rights of individuals.  The information collected in the volunteer application is intended to gather information to make informed and appropriate volunteer placement referrals.  Authority to collect information contained in the application for the purposes described above and is provided under the authority of the Personal Information Protection and Electronics Act (PIPEDA) and abides by the privacy rights of applicants as outlined in the Act.  If you wish, here is a link to read more about the PIPEDA Act:  PIPEDA fair information principles - Office of the Privacy Commissioner of Canada

2.  You manage your own personal information:

Your personal information is managed under the Personal Information Protection and Electronics Act (PIPEDA), which states that you have the right to, and are encouraged to, update and / edit your personal information at anytime.  You may request access to your complete volunteer profile information at any time.  You may challenge the accuracy of the contents of the profile and completeness of the information and have it amended as appropriate. 

3.  Some of your personal information is required:

Some of your personal information requested in the application is required and some personal information requested is optional.  Optional information is submitted as a choice of the applicant and providing this information implies consent.

4.  Information held in Better Impact:

Your personal information and documents are protected by the security safeguards of the volunteer management software, Better Impact.  The safeguards protect the volunteer applicant against unauthorized access.  If you would like information to the safeguards provided by Better Impact, please follow the link here: https://www.betterimpact.ca/privacy-policy/

5.  Your information is provided to member agencies:

Once potential volunteer placements have been mutually agreed upon by the applicant and Volunteer Lethbridge, your personal information provided in the application will be summarized and sent by encrypted email to the corresponding agencies or organizations.  Volunteer Lethbridge does not monitor the volunteer application information post-referral.
