Volunteer Policy
Use of Volunteer Technology (MyImpact Portal)
The Seattle Botanic Gardens uses the MyImpact Portal as the primary system for coordinating volunteer programs. Volunteers are expected to use the portal to sign up for shifts, complete required onboarding and training, log volunteer hours, and receive important program communications. Because we receive a high level of interest across our programs, consistent use of MyImpact is essential to helping us manage schedules, ensure safety, and support volunteers effectively. Support and guidance are always available if you need help navigating the system.
Criminal Background Checks
Volunteers participating in roles that are expected to involve 30 or more hours of service annually are required to complete a criminal background check. Seattle Botanic Gardens will provide instructions for completing the background check as part of the onboarding process. Background checks are completed at no cost to the volunteer and are intended to support a safe and responsible volunteer environment.
Attendance and Schedule Changes
Volunteers are expected to attend the shifts they sign up for. We understand that life happens and that plans sometimes change. If you are unable to attend a scheduled shift, please make your best effort to remove yourself from the shift in MyImpact as early as possible. When feasible, please also notify the program contact or volunteer lead. Providing advance notice helps programs plan coverage and supports a positive experience for staff and fellow volunteers.
Kindness, Respect, and Community Care
Kindness and respect are core expectations of volunteering with Seattle Botanic Gardens. Volunteers are expected to interact thoughtfully and respectfully with staff, fellow volunteers, visitors, and community members. This includes being mindful of differences in experience, background, and ability, and contributing to a welcoming and inclusive environment. Behavior that is disruptive, disrespectful, or harmful to others may result in reassignment or removal from a volunteer role.
Program Guidance and Safety
Volunteers agree to follow program guidance, training instructions, posted signage, and safety practices. These expectations are in place to protect volunteers, staff, visitors, and the living collections. Volunteers are encouraged to ask questions whenever they are unsure about a task or situation.
Communication and Responsiveness
Clear communication helps volunteer programs run smoothly. Volunteers are expected to read messages sent through MyImpact or by program staff and to respond when confirmation or follow-up is needed. Staying engaged with communications allows us to provide timely information and support.
Care for Garden Spaces and Resources
Volunteers are trusted stewards of garden spaces, tools, and materials. This includes using shared tools and materials as instructed, returning all shared resources after use, and respecting spaces. Thoughtful care helps sustain programs and the gardens for the broader community.
Policy Updates
The Volunteer policy may evolve as programs grow and change. Updates will be shared through MyImpact or volunteer communications, and volunteers are asked to stay informed.
