The Council’s responsibilities and aspirations for volunteers

Volunteering should be:

  • Accessible to all, following the Council’s Equality and Diversity Policy.
  • Safe so far that is reasonably practicable.  Volunteering should be included in risk assessments and health and safety policies and plans.
  • Informative including thorough induction, training and briefings for volunteers on their role description.
  • Well organised and managed.
  • Rewarding where all involved are recognised and thanked for their efforts.
  • Flexible in relation to volunteers personal circumstances.
  • Supportive so volunteers are encouraged to take on new tasks but if they do not wish to undertake tasks or leave the programme they can do so freely.
  • Beneficial to the volunteers personal development.
  • Well supervised with support and guidance given through a named contact i.e. Volunteer Coordinator (VC) or supervisor for an admin role.
  • Open and fair with volunteers given a confidential process for raising concerns and giving feedback.
  • Free to undertake as far as practical, please see the section on claiming expenses.
  • Insured under the Council’s public liability insurance policy.

 

Volunteers are asked to follow this code of practice:

  • To volunteer with an appreciation of the Council’s priorities.
  • Follow Council’s standards relating to confidentiality, data protection, equality and diversity, health and safety, safeguarding and zero tolerance on violence.
  • Follow instructions given by Volunteer Coordinators (VCs) and member of staff with particular attention to health and safety.
  •  Always think of your own safety first!
  • Strive to develop an appropriate working relationship with the Volunteer Manager, fellow volunteers, staff and participants based on trust, teamwork and respect.
  • Let the Volunteer Manager, VC or supervisor know if you are unable to attend, need to leave or if you have any restrictions that will stop you from fulfilling your role.
  • Display high standards of behaviour and appearance.
  • Report to the VC at events or your supervisor for admin on arrival unless instructed otherwise.
  • Refer any concerns or issues to the VC, event organiser, supervisor or Volunteer Manager.
  • Not be under the influence of alcohol or drugs.
  • Act in the best interest of the Council as a representative of the organisation.
  • Refrain from discussing personal opinions when volunteering.
  • Treat information about service users, staff or volunteers in a confidential way.
  • Maintain a happy relationship with the public and promote participation.
  • Not to take photographs/film at events whilst on duty unless given permission.
  • Report any concerns or unacceptable behaviors to VC, event organiser, supervisor or members of security/police at the event or during an admin placement.

Your data and how we handle it

  • Data will be processed for the purpose of engaging you in volunteering for London Borough of Barking and Dagenham.
  • Data is stored in compliance with ICO, EU regulations and GDPR.
  • We will delete all data related to you five years after the point at which you no longer volunteer with us or log into your volunteer profile.
