In order to become a City Stars volunteer, please read and agree to the following terms and conditions.
Eligibility to Live and Work in the UK
As a volunteer, you must be eligible to live and work in the UK, and we will need you to provide evidence of this during your first training session. We can accept your birth or adoption certificate, passport, driving licence, national insurance number card, or a letter from Jobcentre Plus.
Unfortunately, if you cannot provide any of these documents you will be unable to become a volunteer.
Your commitment to support as many events as possible per year
To help make our volunteer programme a success, we need you to support as many events as possible per year; there are many exciting volunteering opportunities, so there will be no shortage of options to choose from.
Training and Evaluation
All volunteers must attend a short induction before being accepted as a volunteer. Sessions are usually held monthly, subject to there being a minimum of three attendees.
Whilst we are not conducting formal interviews for volunteers, we will use these sessions to evaluate whether you meet the values and behavioural criteria set out in the role description. We reserve the right to conclude that an applicant is unsuitable to participate further in the volunteering programme. In these exceptional circumstances, we will remove your application from our records and you will be unable to join the volunteer programme.
The Volunteer Uniform
City Star volunteers will be expected to wear a name badge whilst volunteering; so, if the name you generally use is different to your official first name, please let us know. For example, if your name is Robert, you might prefer to be called Bob.
You will be provided with a t-shirt, and a fleece or jacket, which you must wear if you are volunteering as a City Star. You should also wear dark trousers or a skirt, together with smart shoes, whilst volunteering.
Criminal Records and Volunteer Recruitment
The City Stars Scheme is committed to equality and diversity and we value the contribution that all people can make as volunteers. If you are thinking of joining the scheme, we welcome enquiries from everyone so please get in touch.
We recognise that many potential volunteers may be ex-offenders and/or have criminal records. We understand that this may mean you are reluctant to apply for roles that would involve the disclosure of them. We know that people are often ashamed and embarrassed about their cautions and convictions and fear they will not be treated fairly because of them. We also understand that obtaining voluntary work can enable people who have put their criminal past behind them to become productive members of society. We would like to reassure all our potential volunteers that we judge everybody first and foremost on their skills, experience and merits.
We only ask applicants about criminal records when they apply due to there being some volunteering activities that involve working with children and vulnerable groups. We may ask you to make a confidential declaration in the form of a written disclosure statement. All information disclosed will be treated in the strictest confidence. We do this at the same time we take references and obtain copies of your ID. We reserve the right to withdraw the volunteer role offers should a disclosure be made that we feel places the City Stars Scheme or any person that interacts with the scheme at risk.
Failure to disclose unspent convictions could result in volunteers being asked to leave their role.
The Team Captain acts as a point of contact at volunteering venues for a team of up to five volunteers for the duration of a shift. The Team Captain’s role is all about communication, whether that be with fellow volunteers, the Volunteer Duty Manager, or members of staff at the venues.
It is essential that Team Captains own, and are willing to use, a smartphone so that they can receive any updates or other information sent via email and social media. The Team Captains will share these updates with their teams.
Team Captains will be appointed at or before a volunteer briefing.
We will collect personal information only when you specifically and knowingly give it to us; e.g., by filling out an online form or by sending an email. We will record the time you gave us the information and keep track of where it was sent. We will use the personal information you give us for the reasons stated when you provide it. Generally, we will not share your information with outside parties, unless we have to legally, or where the law allows this.
You must agree that any photographs or video that contain your image may be used for the purposes for which they were intended, including publicising the City Stars scheme, or inclusion in associated websites, brochures, press releases, or any other publications.
By agreeing to receive details of offers from Liverpool ONE, you consent to your details been passed to their marketing team. You will be invited to join their mailing list, which will enable Liverpool ONE to send you tailored emails based on your interests, these may include exclusive offers from stores, restaurants, and city attractions; invitations to events; and details of exclusive monthly competitions.
What information do we collect from you and how do we collect it?
We are committed to equality of opportunity for everyone. When you use the Website, we collect information that you voluntarily provide to us; e.g., when you complete your registration details, which include your name, email address, age, and post code.
Personal data will be processed in a manner compliant with the ICO and GDPR Regulations 2018. It will be stored in Canada, one of twelve countries outside the EU that the European Commission has determined favourable for data storage.
How do we use your information?
The ways in which we use your information depend on the type of information you provide and the purpose for which you provide it. This section sets out the different ways that we may use your information.
- If you register as a volunteer, we may use your information to send you online and/or email communications containing updates on events, voluntary opportunities, progress, and developments.
- We may provide your information to any third party that manages any facility, service, or promotion via the Website on our behalf. This includes, for example, any website hosting company.
- We may use your information to assess whether our Equal Opportunities Policy is effective. To achieve this we need to know your sex, age, and ethnic origin, as well as whether you consider yourself to have a disability.
- We may use your information to compile statistics that help us to track the number of people that volunteer for a particular event.
- We may transfer your information if there is a transfer of ownership of the Website.
- We may transfer your information if there is a transfer of ownership of the City Stars volunteering programme.
- Only where you have specifically consented for us to do so, will we pass your information onto selected third parties so that they can provide you with relevant information about their products and/or services, or for other purposes to which you have consented.
Apart from the purposes described above, we will only use the information that you provide to us for the purpose described at the point of collection or for purposes that are otherwise legally permitted.
When are we required to disclose your information?
As noted above, we will only use the information that you have provided to us for certain defined purposes.
However, we may also disclose your information if we reasonably believe that we are required to do so by law, regulation, court order, or any competent governmental, statutory, or public body; or, to protect our rights and property, or the rights and property of our partners or the public.
If we are required to cooperate with a law enforcement agency as part of an official investigation, we may also disclose your information to that agency.
We will collect, store, and use your information in accordance with the General Data Protection Regulations 2018.
Security of your information
When we receive information from you, we will endeavour to protect it using physical, managerial, and technical procedures, supported by general security measures, to prevent unauthorised access to it.
However, we cannot guarantee the security of any information that you provide to us in an email or online form while it is being transmitted to us over the Internet. Any transfer of information from you to us is at your own risk.
Accuracy and retention of your information
We will endeavour to keep your personal data accurate and up-to-date, and for no longer than is necessary. To this end, we will occasionally remove the details provided by volunteers who have been inactive for a period of time, typically around six months.
Your right to access your information held by us
The General Data Protection Regulation 2018 gives individuals a right of access to their information held by an individual or organisation and specifies that organisations holding such data need to be more transparent with how personal data is processed and stored.
If you wish to access any of your information that we hold, you should make a request in writing to The Data Protection Manager, Liverpool ONE, 5 Wall Street, Liverpool, L1 8JQ.
Managing your information or opting out
We provide the following options for managing your information and/or removing it from our database.
1. Email us: email@example.com. Be sure to include your name, together with clear instructions regarding what you would like us to do (e.g., update your information, or remove your information from our database).

3. Follow the ‘unsubscribe’ link in electronic communications to stop receiving such communications from us.
4. At any time, you can click on the ‘resign’ link found in the contact tab within myvolunteerpage.com to remove yourself from our City Stars database. In order to remove your details from myvolunteerpage.com completely, you will need to email firstname.lastname@example.org, quoting your user name and requesting the removal of your personal data.
