Volunteers Privacy Notice

 

Ripon Museum Trust is committed to maintaining the accuracy, confidentiality and security of any personal information that we gather from you. This Privacy Notice describes the information that we collect from or about you, how we use the information and who we share that information with.

 

What information do we collect and why do we collect it?

RMT collects and retains information on volunteers that allows us to contact you about volunteering opportunities, events and activities.

We also collect and retain information that helps us to manage our volunteer programme and evaluate its success and impact.

This might include details such as your age or ethnicity or a record of any volunteering you have done with us.

We may also retail certain information you have shared with us about your health. This information helps us ensure that the volunteering opportunities we offer you are suitable.

If you are claiming expenses we may require your bank details in order to reimburse you.

You will always be asked directly for personal information and we will always let you know how the information will be used.

Who do we share your personal information with?

We do not share your personal information with any other organisations without your express consent.

Sometimes funders ask that we share information about our volunteering programme. Any data shared would always be anonymised and would refer to overall volunteering statistics not to individuals.

How is your information protected?

Your information is stored securely in locked cabinets and on a secure digital encrypted database. We have procedures and policies in place to protect your information from loss and unauthorised access, copying, use, modification or disclosure.

How long is your information retained?

We only retain your information for as long as is necessary ie while it is being used for the purpose it was collected. Records of inactive volunteers will be deleted after 1- 3yrs

You have the right to see the information that we hold about you. Better Impact log in.

In the event that we cannot provide you with access to your information we will explain why subject to any legal or regulatory restrictions.
