Privacy Notice
Burnley Borough Council will be what’s known as the “Controller” of the personal data you provide to us. We generally only collect basic personal data about which does not include any special types of information except in the case of volunteers some basic health data is requested; and in during consultation other sensitive data is requested. This does, however, include names, address, telephone number etc.
There are various reasons why we need to know your personal data:
- Allotments – in order know of your interest in acquiring a plot and eventually in order to lease a plot to you. Failure to provide the information could result in us being unable to lease a plot to you.
- Bowling Clubs – in order to be in contact regarding various aspects of running the greens.
- Volunteers – the general data in order to know of your interest in volunteering for Green Spaces & Amenities; the health data in particular to enable to gauge the suitability of the volunteering task. We have to ensure that we have met he various health and safety legislation requirements.
- Consultation – completion of questionnaires relating to usage of certain parks / playgrounds. We may ask you to complete details relating to health and/or ethnicity to ensure that this represents the community. In some cases, a funding body may request to see this data. This information will not be otherwise disclosed except within statistics.
We will not collect any personal data from you that we do not need in order to provide and oversee this service to you.
We will keep your information for a maximum of 6 years, unless it is in relation to an allotment where Tenant details will be kept for 6 years after the tenancy ends. Details for the waiting lists for allotments will be retained until you wish to be removed from the list or we are unable to contact you to check if you wish to remain on the list.
- Bowling clubs this information is not shared with a third party it is processed by officers of Green Spaces & Amenities.
- Allotment holder’s information is shared with other sections of the council in relation to the raising and processing of invoices for the payment of the rent for the plot.
- Volunteers – this information is kept in paper form and is also input onto a secure cloud based software system to allow us to inform you of opportunities as they arise.
- Consultation – the exact information not shared with a third party, but graphs / reports drawn up using statics created from the information is shared with funding bodies.
If at any point you believe the information we process on you is incorrect you can request to see this information and even have it corrected or deleted. If you wish to raise a complaint on how we have handled your personal data, you can contact our Data Protection Officer who will investigate the matter.
If you are not satisfied with our response or believe we are not processing your personal data in accordance with the law you can complain to the information Commissioner’s Office (ICO).
