Volunteer Agreement
We truly appreciate and value the volunteers who make up a big part of our overall team at West Horsley Place Trust (‘the trust). So much of what we do would not be possible without you. This Agreement aims to formalise our commitments to each other, and to ensure that all volunteers have a safe and enjoyable experience in volunteering for the Trust.
Please could you help us by reading and confirming your acceptance of the following basis for your volunteering at West Horsley Place Trust. (We process your personal data in our legitimate interests to manage our volunteer scheme and to meet our legal obligations for health and safety, and this is done within the parameters of all current Data Protection legislation (GDPR)).
Our Promises to you
- To offer a warm, open, and engaging environment, with a broad range of volunteer opportunities where you can contribute and learn in a beautiful, historic setting.
- Wherever possible, to offer flexible volunteering opportunities. This means we will look to match each volunteer with an appropriate volunteering opportunity, working with you to ensure your needs are met.
- We will strive to listen. As a learning organisation we want to hear from you and will do our best to act on your feedback, keeping you informed of any changes.
- The Trust will take all reasonable precautions to provide a safe environment. This includes undertaking Risk Assessments for all activities, providing necessary PPE and training for all our volunteers.
In return, we ask that volunteers follow and commit to our volunteer Code of Conduct and Health and Safety Guidance:
Our Volunteer Code of Conduct
Trust Volunteers will:
- Act as ambassadors for the Trust;
- Be appropriately dressed for their volunteering activity;
- Adhere to any reasonable Health and Safety instruction from employees of the Trust and/or the volunteer supervisor
- Be reliable and punctual;
- Treat clients, visitors, fellow volunteers and employees with respect;
- Fulfill the duties outlined in the role description
- Respect and protect our heritage, buildings, our collected items, formal gardens, and our natural landscapes
- Be professional in appearance, (appropriate to the task) communication and approach;
- Adhere to our Equality, Diversity and Inclusion policies and statements at all times;
- Maintain confidentiality at all times;
- Demonstrate and embody the Trust’s Core Values, as outlined in section 1 of the volunteer handbook.
- Let your volunteer supervisor or an employee of the trust know if you are having any problems, or if you have any complaints, concerns or feedback.
Health and Safety Guidance
The Trust will take all reasonable precautions to provide a safe volunteering environment. In return we ask that you:
- Adhere to any reasonable Health and Safety instruction from employees of the Trust and/or the volunteer supervisor
- Familiarise yourself with any risk assessments relevant to your volunteering responsibilities.
- Take all reasonable precautions to ensure your own safety and that of anyone around you.
- Use any protective clothing or equipment you may have been given as instructed.
- Only go into areas of the property which you have been specifically authorized by employees of the Trust. Access may be restricted to some areas for your safety.
- Only undertake tasks which you have been instructed and trained to do.
Your volunteer supervisor is the employee or volunteer responsible for overseeing your volunteer role with the Trust. You may have different volunteer supervisors for different roles or tasks.
Agreement
By checking this box, you agree to adhere to the above and that:
- You acknowledge that your activities at the West Horsley Place Trust are undertaken solely as a volunteer, without payment or remuneration. You are not employed by the West Horsley Place Trust.
- You understand that we reserve the right to end the volunteer relationship with you if any of the above commitments are not met.
- This agreement is in honour only. It is not a legally binding contract and can be ended by West Horsley Place Trust or the volunteer at anytime.
