Historic Royal Palaces - GDPR Policy and Volunteer Agreement
Thank you kindly for your offer of support in the forthcoming Superbloom event at HM Tower of London.
We hugely appreciate you offering us your precious time. Please do read the below statements before proceeding to a short application form.
This volunteer arrangement describes the agreement between Historic Royal Palaces and you. In making this arrangement we wish to emphasise our commitment to volunteers and undertake to do our best to make your volunteer experience with us enjoyable and rewarding.
- This arrangement is binding in honour only and is not intended to be a legally binding contract between us, neither party intends any employment relationship to be created either now or at any time in the future
- As a volunteer there is no obligation on the part of the organisation to offer voluntary assignments, or for you to accept any voluntary assignments offered to you
- This arrangement may be cancelled at any time at the discretion of either party
- All applicants must be aged 16 or over
- The reference contact/s you provide us as part of this application will not be contacted in all instances but will be dependant on role and duration of engagement
In filling out this application form you agree to Historic Royal Palaces keeping the information you provide on file within this system for the duration of the event and up to 12 months following, after which all personal data will be deleted from our database. During this time we shall use this information for the sole purpose of contacting you in regards to the agreed activity. At any point within that time you may deactivate your account of your own accord.
Part 1: The Organisation
Historic Royal Palaces commits to the following:
To provide volunteers with induction (including Health and Safety and Covid 19 training) so that activities can be carried out safely and competently, and we will offer other training appropriate for you to meet the responsibilities of this role/activity;
To provide volunteers with all necessary information pertinent to the performance of the assignment, and to provide access to property and materials necessary to fulfil the agreed duties;
To make sure that each volunteer knows the paid or volunteer member of staff to whom he or she is responsible to, and who should be informed if for any reason you can not meet your volunteer commitment on a given day or at a given time;
To provide insurance to cover volunteers against injury while volunteering and any claim by a member of the public;
To try to resolve fairly any problems, difficulties you may have while you volunteer with us;
In the event that we do not require your voluntary services any longer, we reserve the right to end this arrangement, with immediate effect.
Part 2: The Volunteer
I agree to serve freely as a volunteer, and I agree:
To perform the volunteering activities which I have freely accepted to the best of my ability;
To read, accept and follow the organisation’s policies, procedures and standards, that apply to volunteers, including health and safety, Covid 19, fire and other emergency procedures relevant to the role/activity;
To maintain the confidential information of the organisation and of its clients and adhere to any media guidelines relating to the activity/event on social media;
To take part in the organisation’s induction procedures and to accept training for my volunteer role;
To meet the time commitments and standards agreed to, and to inform my supervisor as soon as possible if I either cannot, or no longer desire to, take part in a committed shift or future shift
