City of Melbourne (CoM) My Impact Collection Notice
City of Melbourne (CoM) is committed to protecting your privacy and views the privacy of individuals as an integral part of its commitment towards complete accountability and integrity in all its activities and programs.
Your personal information will be collected in My Impact Page when you create a profile (name, email, contact details) and complete an application form to volunteer with CoM. Additional personal information may be collected from you through interviews, on-boarding processes, or while volunteering and entered into My Impact Page. The collection of some of this information is required by legislation. CoM will use this information for the purpose of managing the recruitment, selection, on-boarding, learning and development and ongoing management of volunteers.
CoM will ensure that we will only use the personal information provided by you for the purpose for which it was collected as stated above. This information will be accessible to CoM’s volunteer coordinators and supervisors, and People,Culture & Leadership staff members responsible for volunteer administration or with a business need to access to this information. It will not be accessible or disclosed to any other external party without your consent, unless required or authorised by law. CoM will also take all reasonable measures to prevent unauthorised access to your personal information.
Personal information collected in My Impact Page will be stored in Canada. Please be aware that you are afforded certain protections and rights under the Victorian Privacy and Data Protection Act 2014 and the Information Privacy Principles (IPPs). Once transferred outside of Victoria, these protections may not apply to your information. To the extent possible, CoM has bound the recipient to a contract that upholds principles for the fair handling of the information that are substantially similar to the IPPs.
If you do not provide the personal information requested you will not be able to volunteer at CoM.
Please note: CoM is not required to collect sensitive or health information for the purpose of volunteer management. Sensitive information can include racial / ethnic origin, political opinions, membership of a political association, religious beliefs or affiliations, philosophical beliefs, membership or a professional or trade association, membership of a trade union, sexual preferences or practices and criminal record. Health information includes any information about your health or disability, and any information in relation to a health service you have received, e.g. notes of your symptoms or diagnosis and the treatment given to you.
Your personal information (name, email, contact details) can be updated at any time by logging into My Impact Page with your username and password. If you wish to access or alter any information you have supplied to CoM when completing an application form, you can also contact the Volunteer Program Supervisor or email neighbourhood.volunteer@melbourne.vic.gov.au
