Volunteer Privacy Policy
What data do we need from you and why?
Before you fill in the information required on the next few pages, we wanted to take a minute to let you know why we need this information about you, and how it will be treated.
- The personal information you provide in your registration will be used to check your suitability for the volunteer activities you are applying for, to ensure that we have required demographic information about our volunteers, and to ensure that we can get in contact with you about matters related to your role as a Museum volunteer.
- Some of the information is optional, for example the sections about diversity. If you choose to provide this information, we will use it to monitor the diversity of our people and report on this at a statistical level both internally and externally.
- If you choose to provide information about a disability or medical condition, we will use the information you have provided to make reasonable adjustments to best support you in your role as a volunteer, as according to our Volunteer Policy.
- We will use the information about your main income stream to assess the socio-economic characteristics of our volunteers, so that we can work to ensure we are attracting and retaining volunteers from a variety of backgrounds. Some of our funders, such as the National Lottery Heritage Fund, also aim to increase volunteering opportunities among certain socio-economic groups and therefore we may share this information with them at a statistical level.
- We will use the emergency contact details that you provide for the purposes of making contact in the case of an emergency.
- Please be assured that we will always store your information securely and will not share it with other organisations. We will keep your information for the time that you are a volunteer and then for 6 years afterwards.
- You can find out more about the exact legal basis that the Museum uses to process your data by reading our Staff and Volunteer Data Protection Policy here.
